As you can imagine, email is one of the most powerful features within CRM. And since it is possible to over-use even the best tools, CRM allows you to determine, by contact, how people can be contacted.
When you look at the Administrative tab on the Contact form, you will find various methods of contact for the CRM Contact:
Today, we'll be discussing the E-mail and Bulk E-mail options.
Overview
When you are sending email within the system, CRM will automatically take these two settings into account and if either is set to Do Not Allow, it will not send email to the Contact.
When working with a Marketing Campaign, the Contact will automatically be eliminated from the Campaign.
When sending an individual email, you will receive a warning as shown below:
Performing an Advanced Search
If you are a heavy user of the Advanced Search feature, you can replicate this functionality by specifying additional search attributes.
The easiest method for creating an Advanced Search is to open an existing view that mostly produces the results you wish to see. We'll be using the Active Contacts in this example.
Click on the Advanced Search button and you will see something resembling the following:
Click on the Select link and add a new search attribute, as shown below:
This will return results for all Active Contacts what have the Do not allow E-mails set to Allow.
Click the Save As button and save this Advanced Find for use later.
But what about the Bulk E-mail setting?
When you are adding Attributes to the search criteria, you will notice that the Do not allow bulk E-mail Attribute is not listed. This is by-design, but you can change it using the following instructions.
Note: You must be part of the System Administrators or System Customizer roles to perform the following operation.
Note 2: You must also have Hotfix Rollup 1 or Hotfix Rollup 2 installed.
1) Select Settings, Customization, Customize Entities.
2) Open the Contact Entity.
3) Open the donotbulkemail Attribute, which should look something like this:
4) If the Searchable Attribute is set to No, change it to Yes.
5) Click the Save and Close button.
6) Publish the Contact Entity.
If you go back to Advanced Find, you'll notice that you now have access the Do not allow Bulk E-mails Attribute:
